Privacy Policy

VoiceMemo ("the app", "we") is built to keep your voice notes private. This Privacy Policy explains what data the app collects, how it collects that data, all uses of that data (including when data is shared with a third-party AI service after your explicit permission), and how third parties protect your data. Our guiding principle: your recordings stay on your device by default, we never ask you to create an account, and no data is ever sent to cloud AI without your explicit in-app permission.

1. What Data We Collect

Audio recordings: Voice recordings you explicitly create in the app using your device microphone. Stored locally on your device (and in your personal Apple iCloud Drive container if automatic iCloud backup is enabled).
Transcripts, context hints & chat prompts: The transcribed text of your recordings, optional vocabulary/speaker hints you enter, and questions you ask in the AI chat feature.
Anonymous subscription & usage metadata: An anonymous app-generated identifier and Apple App Store purchase/entitlement status used to manage VoiceMemo Pro subscriptions and monthly AI minute allowances.
Data we do NOT collect: We do not collect your account name, email address, phone number, address book contacts, or precise GPS location. There is no user registration or login.

2. How We Collect Data & Obtain Your Permission

Direct user action & iOS system permissions: Audio is captured only when you actively start a recording and grant iOS Microphone permission. On-device transcription uses Apple SpeechAnalyzer and on-device WhisperKit, keeping audio 100% on your device by default.
Explicit in-app permission before sharing data with third-party AI: Before VoiceMemo ever transmits any transcript text, chat prompt, or audio recording to our cloud AI service, the app presents an explicit in-app permission dialog disclosing what data will be sent and who receives it (Google Cloud Speech-to-Text and Google Vertex AI). Data is transmitted only after you tap Allow Cloud AI Processing. You may choose Keep On-Device Only or revoke permission at any time in Settings → AI Summary.

3. All Uses of Your Data

On-device transcription & local library: Converting your speech to timestamped text locally on your iPhone, iPad, or Apple Watch.
AI summaries, action items & speaker matching (with your permission): When you grant AI data-sharing permission, your recording’s transcribed text (and optional vocabulary/speaker hints) is sent over encrypted HTTPS to our processing relay (api.voicememo.work) and processed by Google Vertex AI (Gemini) solely to generate structured summaries, extract to-do items, match speaker names, translate notes, and answer your chat questions.
Optional cloud transcription (with your permission, off by default): Only if you explicitly turn on Cloud Transcription and grant permission, the audio file for that recording is transmitted over encrypted HTTPS to api.voicememo.work and processed by Google Cloud Speech-to-Text solely to produce a speaker-diarized transcript.
Optional AI Agent MCP connection (off by default): Only if you explicitly turn on the MCP relay in Settings, your redacted task and summary snapshot is synced to your private token-protected endpoint so your own desktop AI tools can read your tasks.
No AI model training & no advertising: Your audio, transcripts, and notes are never used to train AI models, never sold to data brokers, and never used for advertising or cross-app tracking.

4. Third-Party Service Providers & Equal Protection Confirmation

We share data only with the following third-party service providers as necessary to deliver the features you explicitly authorize:

Google Cloud (Google Vertex AI & Google Cloud Speech-to-Text): Processes transcribed text (for AI summaries, task extraction, embeddings, and Q&A chat) and audio files (only when Cloud Transcription is enabled) after you grant in-app permission. All requests are processed transiently over encrypted TLS and are not retained after processing or used to train Google models.
Apple Inc. (App Store & iCloud): Processes in-app subscription payments and stores your automatic backups inside your personal iCloud Drive container.
RevenueCat, Inc.: Receives an anonymous app-generated identifier and purchase receipt status solely to validate VoiceMemo Pro entitlements across devices.

Third-Party Equal Protection Guarantee (App Store Guideline 5.1.1(i) & 5.1.2(i)): We confirm that every third party with whom VoiceMemo shares user data (including Google Cloud / Vertex AI, RevenueCat, and Apple) is contractually and technically required to provide the same or equal protection of user data as stated in this Privacy Policy and required by the Apple App Store Review Guidelines.

5. Data Retention & Your Control

Your notes and audio live on your device and in your personal iCloud container. You can revoke third-party AI data sharing permission at any time in Settings → AI Summary, delete any individual note or audio file inside the app, or remove all local data by uninstalling the app. Our cloud AI relay processes AI requests transiently in memory and does not store your transcripts or audio recordings after returning the response.

6. Children’s Privacy

VoiceMemo is not directed to children under 13, and we do not knowingly collect personal data from children.

7. Changes to This Policy

We may update this policy as the app evolves. Material changes will be posted on this page with an updated effective date.
